This policy explains what personal information we collect when you contact us, why we need it, how long we keep it and what rights you have over it.

The short version.
We only collect the details you choose to send us when you ask for a quote — your name, address and how to reach you. We use them to quote for your job and to do the work. We do not sell them, we do not use them for advertising, and we do not add you to a mailing list. This website only uses analytics cookies if you accept them, and runs no advertising tracking.
1. Who we are
Robs Fencing & Decking Services is a trading name of Rob Nekola-Steer, a sole traderbased in Newton Abbot, Devon. For the purposes of UK data protection law we are thedata controller for the personal information described in this policy — which means we decide what is collected and what it is used for.

2. What information we collect
Apart from website analytics you have agreed to, we only hold information you give us yourself. Depending on how you get in touch, that can include:
- Enquiry details — your name, address, postcode, telephone and mobile numbers, email address, which services you are interested in and anything you write in the enquiry box on our contact page.
- Messages you send us — the content of emails, text messages, WhatsApp messages and voicemails, including any photographs of your garden you send so we can quote more accurately.
- Job and payment records — if you go ahead with work, the quote, what was done, the invoice and the payment record. We do not store card details; payments are made by bank transfer.
- Technical information — our hosting provider keeps short-lived server logs (including IP addresses) to deliver the website and protect it from abuse. We do not use these to identify individual visitors.
- Website analytics, only if you accept — if you accept analytics cookies, Google Analytics records how you use the site: the pages you visit, how long you stay, your device and browser type, your approximate location and how you arrived. It uses a random ID stored in a cookie rather than your name, and we only ever look at the totals. See ourCookie Policy.
We do not knowingly collect information from children, and we do not collect any special category data (such as health or ethnicity). Please do not send us information of that kind.
3. Why we use it, and our lawful basis
UK GDPR requires us to have a lawful basis for using your information. Ours are set out below.
- To reply to your enquiry, visit, measure up and prepare a quote. Lawful basis:steps taken at your request before entering into a contract.
- To carry out the work, order materials and keep you updated. Lawful basis:performance of our contract with you.
- To keep accounting, invoicing and tax records. Lawful basis:compliance with a legal obligation.
- To keep a record of quotes given and work done, and to deal with any complaint, warranty claim or dispute. Lawful basis: our legitimate interests in running the business and defending legal claims.
- To understand how visitors use the website and improve it. Lawful basis:your consent, given through the cookie banner. You can withdraw it at any time using the Cookie settings link at the foot of every page.
Providing your details is not a statutory requirement, but we cannot quote for a job without a name, an address and a way of contacting you.
We do not use your information for marketing, we do not build profiles, and we do not carry out any automated decision-making or profiling that produces legal or similarly significant effects.
4. Who we share it with
We do not sell or rent your information to anyone. We share it only where we have to:
- Cloudflare, Inc. — hosts this website and receives the contact form when you send it. Cloudflare acts as our processor and provides protection against attacks and abuse.
- Resend, Inc. — delivers the contact form enquiry to us by email. Resend acts as our processor and keeps a copy of the message in its delivery logs for a limited period.
- Google Ireland Limited and Google LLC — provide Google Analytics, only if you accept analytics cookies. Google acts as our processor, with its advertising features and data sharing switched off.
- Our email provider — enquiries and correspondence sit in our email account in the ordinary way.
- Our accountant and HMRC — invoices and payment records, for tax and accounting purposes.
- Suppliers and merchants — only where a delivery has to be made to your address, and then only the delivery details.
- Professional advisers, insurers or the authorities — where we are legally required to disclose information, or need to establish or defend a legal claim.
5. Transfers outside the UK
Some of the providers above are based outside the UK or operate global networks. Where personal information is transferred outside the UK, we rely on the safeguards permitted by UK data protection law — either the country being covered by UK adequacy regulations, or the provider being bound by the International Data Transfer Agreement or the Addendum to the EU Standard Contractual Clauses. Your enquiry is not routinely transferred anywhere beyond what is needed to deliver the website and the email.
This website loads its typefaces from Google Fonts. When your browser requests those font files, your IP address is visible to Google as the operator of that service. No cookies are set by this and we receive no information from it.
The footer of every page shows a Google map of where we are. It is a frame served by Google and loads only when you scroll down to it. Your IP address is visible to Google as the operator of that service, and Google may set cookies or read identifiers inside the frame under its own privacy policy. We receive no information back from it. OurCookie Policy covers this in more detail.
6. How long we keep it
- Enquiries that do not lead to work — kept for up to 12 months, then deleted.
- Quotes, invoices and job records for completed work — kept for 6 years after the end of the relevant tax year, which is the period HMRC record-keeping rules and the Limitation Act 1980 make sensible for a business of our kind.
- Photographs of completed work — kept indefinitely if we use them as examples of our work, but never with your name, address or any identifying detail attached. Tell us if you would rather we did not photograph your garden and we will not.
- Website analytics — kept by Google Analytics for 14 months, then deleted automatically. The cookies on your device expire after 2 years, or sooner if you withdraw consent or clear them.
7. How we keep it safe
We keep the amount of information we hold to a minimum. Digital records are held in password-protected accounts with two-factor authentication where it is offered, and this website is served over an encrypted HTTPS connection. Any paper notes are kept securely and destroyed when no longer needed. No system is completely secure, but we take steps appropriate to the small scale and low sensitivity of the information we hold.
8. Your rights
Under UK data protection law you have the right to:
- be told what personal information we hold about you and get a copy of it;
- have inaccurate information corrected;
- have your information erased, where we no longer have a reason to keep it;
- restrict how we use it while a query about it is resolved;
- object to us using it on the basis of our legitimate interests;
- receive the information you gave us in a portable format, where we rely on your consent or on a contract with you; and
- withdraw your consent at any time, where we have relied on consent.
To exercise any of these, just contact us using the details in section 1. We will respond within one month, and there is no charge.
9. Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the UK's data protection regulator:

10. Changes to this policy
We review this policy from time to time and will update the date at the top of the page whenever it changes. If we ever start using your information in a materially different way, we will tell you before we do.
